3. How I Collect Personal Information

I may collect personal information:

  • directly from you;

  • through forms on my website;

  • through email, telephone or messaging;

  • through Instagram or other social media;

  • when you book a photography or videography service;

  • during a photography or videography session;

  • through Google Forms where used for consent or administration;

  • through Wix website features and forms;

  • from a wedding couple or event organiser where information about participants is necessary;

  • from models, agencies, stylists, makeup artists or other creative collaborators;

  • through cookies and website analytics;

  • from publicly available professional sources where appropriate.

If I receive your information from someone else, I will only use it where I have an appropriate reason to do so.

4. Why I Use Your Personal Information

I may use personal information to:

  • respond to enquiries;

  • provide quotations;

  • check availability;

  • arrange photography and videography sessions;

  • manage bookings;

  • prepare and perform photography contracts;

  • communicate before, during and after a shoot;

  • create, edit and deliver photographs or films;

  • provide online galleries;

  • manage payments and invoices;

  • maintain business and accounting records;

  • manage model releases and publication permissions;

  • verify age where appropriate;

  • maintain records of image-use consent;

  • display approved portfolio work;

  • maintain and improve my website;

  • understand website usage;

  • protect my website and business from misuse or security threats;

  • deal with complaints, disputes or legal claims;

  • comply with legal and regulatory obligations.

5. My Lawful Bases for Processing

UK data protection law requires me to have a valid lawful basis for using personal information.

Depending on the circumstances, I may rely on the following bases.

Contract

I may process personal information where it is necessary to:

  • take steps requested by you before entering into a contract; or

  • perform a photography or videography agreement with you.

For example, I need your contact details, event information and booking requirements to provide the service you have requested.

Consent
I may rely on your consent for certain optional uses, particularly where photographs are intended for:

  • my public portfolio;

  • my website;

  • social media;

  • marketing;

  • paid advertising;

  • competitions;

  • exhibitions;

  • publications; or

  • other agreed promotional use.

Where I rely on consent, you may withdraw that consent for future processing by contacting me.

Legitimate interests
I may rely on legitimate interests where the processing is reasonably necessary to operate and protect my photography business and your rights do not override those interests.

This may include:

  • responding to business enquiries;

  • maintaining appropriate business records;

  • protecting and securing my website;

  • preventing fraud or misuse;

  • managing professional relationships;

  • defending legal claims;

  • maintaining evidence of permissions previously granted;

  • managing photography at commissioned weddings or events where guests may appear in images.

I will consider the impact on individuals before relying on legitimate interests.

Legal obligation
I may process or retain information where this is required to comply with legal, tax, accounting, regulatory or other statutory obligations.

6. Photographs and Videos

Photography and videography naturally involve processing images of identifiable people.

Images may be created for:

  • portrait sessions;

  • weddings;

  • pre-wedding sessions;

  • maternity sessions;

  • fashion photography;

  • editorial photography;

  • runway photography;

  • events;

  • intimate portraiture;

  • boudoir photography;

  • films and videography;

  • creative collaborations.

The purposes and permitted uses of photographs may differ depending on the type of session and the agreement made with the people involved.

Delivering photographs to a client does not automatically mean that I will use those photographs publicly.

Where separate permission is required for public portfolio or promotional use, I will seek that permission.

7. Portfolio, Website and Social Media Publication

I may ask clients, models or collaborators for permission to feature selected photographs or films in my professional portfolio.
Possible uses may include:

  • www.arunpargi.com;

  • portfolio galleries;

  • Instagram and other professional social media;

  • printed portfolios;

  • photography competitions;

  • exhibitions;

  • editorial publications;

  • marketing materials;

  • paid advertising.

Where appropriate, these uses will be presented separately so that you can choose the types of publication with which you are comfortable.

I will not assume that agreeing to be photographed automatically means agreeing to public publication.

Where public use is based on consent, you may contact me if you later wish to withdraw your consent for future use.

Withdrawal does not affect processing that was lawful before the withdrawal request was received.

I will take reasonable steps to remove affected content from platforms under my control where applicable. However, once material has been lawfully published online, I cannot guarantee removal of screenshots, downloads, copies, reposts or publications made independently by third parties.

8. Intimate Portraiture and Boudoir Photography

Intimate portraiture and boudoir sessions offered by Arun Pargi Photography are strictly for participants aged 18 or over.

Because these photographs may be particularly private or sensitive in nature, I apply additional care to their handling.

Where intimate photographs are being considered for public use:

  • the participant must be 18 or over;

  • age may be verified;

  • specific publication permission will be requested;

  • participants may be shown the proposed photographs before publication;

  • website, social media, advertising and other uses may be approved separately;

  • requests not to identify or tag the model will be respected where agreed;

  • images will not automatically be licensed or supplied to unrelated third parties for adult-content services, unrelated advertising or other commercial purposes.

Any materially different third-party commercial use would require an appropriate separate agreement where necessary.

I do not normally retain a full copy of an identification document solely for age verification unless there is a specific reason why retention is necessary.

9. Children and Young People

Some of my photography services may involve children, including:

  • family photography;

  • weddings and events;

  • maternity/family sessions;

  • portraits.

Where a child is the subject of a planned photography session, booking and consent arrangements will normally be handled through a parent, guardian or responsible adult.

I will take particular care before using identifiable photographs of children publicly.

Intimate portraiture and boudoir photography services are not available to anyone under the age of 18.

10. Weddings and Events

When photographing weddings or events, photographs may include guests and other attendees who are not directly responsible for the booking.

I may process those photographs where reasonably necessary to provide the commissioned photography service.

The commissioning client may also provide limited personal information about guests, suppliers or members of the wedding party where necessary to plan the photography.

Public portfolio or promotional use will be considered separately from delivering the commissioned work.

11. Model Release and Consent Records

Where I obtain a model release or image-publication permission, I may retain records including:

  • name;

  • contact details;

  • project or shoot name;

  • shoot date;

  • approved images;

  • selected publication permissions;

  • identification preferences;

  • consent date;

  • electronic signature;

  • age-verification status where relevant.

These records help me demonstrate what permissions were agreed and ensure that photographs are used in accordance with those preferences.

Google Forms may be used to collect and retain these records.

12. Google Forms and Google Services

I may use Google Forms and related Google services to collect:

  • model releases;

  • publication consent;

  • client information;

  • administrative information;

  • responses and electronic confirmations.

Responses may be stored within Google services such as Google Drive or Google Sheets.

Access to these records is restricted to people who reasonably require access for the operation of Arun Pargi Photography.

Google processes information under its own contractual and privacy arrangements.

13. Wix

My website is created and hosted using Wix.

Wix may process certain visitor information in order to:

  • host and operate the website;

  • provide security;

  • operate forms;

  • provide website analytics;

  • remember preferences;

  • manage cookies and consent;

  • provide other website functionality.

Where Wix Forms or other Wix applications are used, information submitted through those services may be stored through the Wix platform.

14. Other Service Providers

I may use trusted third-party service providers to operate my photography business.

Depending on the services I use, these may include:

  • website hosting and website-service providers;

  • cloud storage providers;

  • email providers;

  • online gallery providers;

  • payment processors;

  • accounting or invoicing services;

  • photography laboratories and printers;

  • couriers or delivery providers;

  • professional advisers;

  • insurers;

  • second photographers, assistants or videographers where required;

  • software used for image editing or business administration.

I only provide third parties with personal information where reasonably necessary for the relevant service or where I am legally required to do so.

Third-party providers may act as independent controllers or processors depending on the circumstances.

15. Public Platforms and Publications

Where you have approved public use of an image, photographs may be provided to or published through platforms such as:

  • Instagram;

  • other social media;

  • photography publications;

  • magazines;

  • competition organisers;

  • exhibition organisers;

  • portfolio websites.

Once a photograph has been published by an independent third party, that organisation may process the information under its own privacy terms.

16. International Data Transfers

Some of the service providers I use, including Wix and Google, may process or store personal information outside the United Kingdom. Where this results in a restricted international transfer, appropriate safeguards or another lawful transfer mechanism will be used in accordance with UK data protection law. These may include UK adequacy regulations or approved contractual safeguards. You may contact me at arunpargiphotography@gmail.com if you would like further information about the safeguards applicable to your personal information.

17. How Long I Keep Personal Information

I do not intend to keep personal information longer than reasonably necessary.

Retention depends on the type of information and why it is held.

Enquiries that do not result in a booking

Normally retained for up to 12 months after the last meaningful communication, unless there is a reason to keep the correspondence longer.

Client booking records and correspondence

Normally retained for up to 6 years after completion of the service where reasonably required for administration, contractual records, dispute handling or legal claims.

Financial and accounting records

Retained for the period required by applicable tax and accounting law.

Photographs and video

Final photographs, RAW files and video files may normally be retained for up to 2 years after final delivery for backup, delivery, archival or business purposes, unless a longer period has been agreed or there is another lawful reason to retain them.

Portfolio photographs

Images approved for portfolio or promotional use may remain in use while they remain relevant to my professional portfolio, subject to the lawful basis being relied upon and any applicable withdrawal or objection rights.

Model releases and publication consent

Release and consent records may be kept for as long as the relevant images remain in use and for a reasonable period afterwards so that I can maintain an accurate record of what was agreed.

Age-verification records

Where age verification is required, I will keep only the information reasonably necessary to demonstrate that verification occurred and will avoid retaining full identity-document copies unless necessary.

18. How I Protect Personal Information

I take reasonable technical and organisational measures designed to protect personal information against:

  • unauthorised access;

  • accidental loss;

  • inappropriate disclosure;

  • alteration;

  • destruction.

Measures may include:

  • password-protected accounts;

  • access controls;

  • secured devices;

  • reputable cloud-service providers;

  • backups;

  • secure links or galleries;

  • limiting access to people who genuinely require it.

No online or electronic-storage system can be guaranteed to be completely secure, but I take reasonable steps appropriate to the nature of the information being handled.

Intimate portraiture and other particularly sensitive photography is handled with additional care.

19. Cookies and Similar Technologies

This website uses cookies and similar technologies.

Some cookies are necessary for the website to function properly and may be used without optional consent where permitted by law.

Other technologies may be used for purposes such as:

Your choices can be changed later where the website's cookie controls allow this.

Third-party features such as embedded maps, videos, reviews or social-media integrations may also use cookies or similar technologies.

20. Website Analytics

I may use Wix Analytics and, where configured, other analytics services to understand how visitors use my website.

This may include information such as:

  • pages visited;

  • approximate geographic region;

  • device type;

  • referral source;

  • interactions with the website.

Where analytics require cookie or tracking consent, those technologies will only operate in accordance with your applicable cookie preferences.

Analytics information is used to understand and improve website performance and visitor experience.

21. Marketing Communications

I will not automatically add someone to a marketing list simply because they enquire about or book a photography service.

If I send promotional email, text or similar electronic marketing, I will do so only where I have an appropriate lawful basis and where the applicable electronic-marketing rules permit it.

You may unsubscribe or ask me to stop marketing communications at any time.

Service communications relating to an existing enquiry or booking are not marketing communications.

22. Reviews and Testimonials

If you voluntarily provide a testimonial or review, I may ask for permission to reproduce it on my website or marketing materials.

If you post a review directly through an independent service such as Google, that service will process your information according to its own privacy terms.

Where Google reviews or similar third-party content is embedded into my website, the relevant service may process technical information or use cookies subject to applicable consent settings.

23. Special Category or Particularly Sensitive Information

Some information provided during photography work may be private or sensitive.

I do not intentionally use photographs to analyse or infer information about matters such as health, religion, ethnicity, sexual orientation or other protected characteristics.

If I need to deliberately process information that is classed as special category data under UK data protection law, I will identify an appropriate lawful basis and an additional legal condition where required.

You should avoid sending highly sensitive personal information through ordinary enquiry forms unless it is genuinely relevant to the photography service.

24. Your Data Protection Rights

Right to withdraw consent

Where I rely on consent, you may withdraw that consent at any time.

Withdrawal does not affect processing that was lawful before consent was withdrawn.

These rights are not absolute and may be subject to exemptions or circumstances where I am legally permitted or required to continue processing certain information.

To exercise a privacy right, contact:

arunpargiphotography@gmail.com
I may need to take reasonable steps to verify your identity before fulfilling a request.

25. Automated Decision-Making

I do not currently use solely automated decision-making that produces legal or similarly significant effects about clients, models or website visitors.

26. Complaints

If you have concerns about how I use your personal information, please contact me first so that I can try to resolve the issue.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent data-protection regulator.
